Planning your coverage

The right coverage for your wedding day, with an hour-by-hour sample timeline

Bride and groom during their first dance in the reception hall, with guests gathered around them

Most weddings need 8 to 10 hours of photo and video

A wedding with the ceremony and reception on the same day usually needs 8 to 10 hours of photo and video to cover everything from getting ready to the first dance and the party. If you want both of you getting ready, a couple's session between the ceremony and the reception, or the grand exit, plan on 10 to 12 hours.

At IAZ Photo Studio those hours line up with our three packages: 8 hours in the Essential Package ($2,150), 10 in the Complete Package ($3,250) and 12 in the Deluxe Package ($4,995), always with a photographer and a videographer.

A real wedding timeline, hour by hour

This is a typical timeline for an Arizona wedding with an afternoon Mass and a reception in a banquet hall. Use it to see which moments fall inside each package.

With 8 hours from 2:00 to 10:00 pm, you cover the ceremony, the family photos, the couple's session and the whole reception. With 10 hours, you add leaving the house and the first look. With 12 hours, you add both of you getting ready. Each separate place counts as a location (2 in the Essential, 3 in the Complete, 4 in the Deluxe), so a couple's session at a separate park adds one and fits only if your package has a location to spare.

What each package includes besides the hours

Hours aren't the only thing that changes between packages. The number of locations on the event day changes too, and so does what you receive afterward.

Photo and video packages by the hours you need

All three include a photographer, a videographer and a one-hour Pre-Event Photo Session. Quinceañeras use the same packages at the same prices.

Why coverage ends at 10:00 pm

After 10 at night, the key moments have almost always happened: the grand entrance, the toast, the first dance, the cake and the bouquet. What follows is the party, and many couples would rather put that money toward something else.

If your reception starts late or your family dances until the early morning, you can add hours at $150 each. Once we see your timeline, we'll tell you honestly whether you really need them.

When you need more than one photographer

One person can't be in two places at once. If the bride and groom are getting ready in different homes at the same time and you want both, you need a second member of the team.

  • Additional photographer: $500 for the first 4 hours, then $125 per hour.
  • Additional videographer: $600 for the first 4 hours, then $150 per hour.
  • 4-hour minimum, never more hours than your package, booked by the date of your final payment.

What eats up the most time on a wedding day

Hours go to things nobody writes on the timeline. Keep these in mind when you do the math:

  • Travel: hours are continuous, so the drive from the church to the park and on to the reception counts inside them.
  • Waiting: a Mass that starts late, makeup that runs over or heat that means waiting in the shade.
  • Family photos: with a list of groups ready, they take 15 to 20 minutes; without one, they can take twice as long. Use our wedding family photo list.
  • The crew's dinner: count the photographer and the videographer in your catering headcount. They eat while your guests have dinner and are ready for the toast and the first dance.

How to work out your hours in five minutes

  1. Write down the time of the first moment you want

If you want getting-ready photos, that's your start time. If not, start with the ceremony.

  2. Write down the time of the last moment you want

For most couples it's the bouquet toss or the hora loca. Remember that coverage ends at 10:00 pm.

  3. Subtract, and account for travel

The difference between the two times already includes travel, because the hours are continuous. Add half an hour of cushion if you have several locations.

  4. Pick the closest package

Up to 8 hours, the Essential Package. Up to 10, the Complete Package. Up to 12, the Deluxe Package. If you're one hour over, compare adding an extra hour for $150 with moving up a package.

  5. Send us your timeline

With your timeline in hand, we'll tell you whether the hours are enough before you sign.

Questions about wedding coverage hours

Do the hours of the pre-wedding session count?

No. The Pre-Event Photo Session is a separate hour, at least 2 weeks before the wedding, and it doesn't come out of your wedding-day hours.

Can I split my hours, some in the morning and some at night?

The hours are continuous. If your ceremony is in the morning and your reception is at night, tell us your timeline and we'll find the right way to cover it.

What happens if the party runs long?

You can add hours at $150 each; extra time is paid before delivery.

Do small courthouse weddings need 8 hours?

Not always. For a courthouse wedding or a short celebration, photo-only or video-only coverage starts at 4 hours for $1,250.

Where is your wedding?

Choose your city, send your timeline and we'll tell you how many hours you need. We reply within 24 to 48 hours.
