Your quinceañera timeline: the right moment to reserve photo and video coverage

Book quinceañera photo and video as soon as your date and venue are confirmed

The safest time to book your quinceañera photographer and videographer is the moment your date and venue are confirmed; vendor guides commonly suggest 9 to 12 months ahead. Saturdays in the busiest party seasons tend to go first, and each date can belong to only one family.

This calendar walks you month by month, from the day you pick your date to the week after the party. It tells you what to decide, what to pay and what to send the photo and video team at each step, so nothing piles up in the final week. The printable version is at the end.

Why photo and video get booked before almost everything else

Photo and video book early because a team can be at only one event at a time, while a bakery, a florist or a decorator can prepare for several parties on the same day. If your date is a peak-season Saturday, other families are looking at it right now, too.

English-language vendor guides commonly suggest booking quinceañera photo and video 9 to 12 months ahead. Our advice is simpler: as early as you can in peak season, and as soon as the venue and the church confirm your date. If your party is sooner than that, don't worry yet. Check your date, because sometimes it is still open.

Booking early also gives you something people forget: time to pay in installments. The balance is paid in installments from the deposit until one month before the event, so the earlier you reserve, the smaller each payment can be.

12 to 9 months before: date, venue and your photo and video team

This is when you lock in what everything else depends on: the date, the Mass and the reception venue. Once you have them in writing, reserve your photo and video.

  • Confirm the church and the venue. The team needs both addresses to plan the drive between locations, which counts within the package's continuous hours.
  • Compare packages with published prices. Quinceañera photography and video cost lays out all three packages and everything each one includes, and the quinceañera budget calculator shows how much of your total budget to set aside for photo and video.
  • Ask before you pay. Use the list of questions to ask before hiring a photographer and videographer: who will cover your event, what happens if that person gets sick, when you get your photos.
  • Hold the date with $500. The deposit reserves the date for you alone and counts toward your total. You sign the contract from your phone and pay the deposit as a separate step.

If the padrinos are giving the photo and video as their gift, talk it through now, before anyone signs. That way everyone knows who covers what and whose name goes on the contract.

8 to 6 months before: dress, court of honor and colors

These are the months for choosing the dress, the colors and the court of honor, and every one of those choices will show up in photos for years. You don't need to tell the team everything yet, but it pays to think about how things look on camera.

  • Colors: some shades look different in photos than in person, especially under reception hall lighting. Our guide to quinceañera color mistakes covers which ones work best together.
  • Court of honor: if the court is rehearsing a waltz or a surprise dance, save the rehearsal dates. On the day of the party, those dances happen only once.
  • Pre-Event Photo Session: start thinking about where you want it. A park, a garden or the venue itself all work; what matters is the light and the drive time.

5 to 4 months before: finalize your package before the cancellation cutoff

The cancellation rule changes at 4 months before the event, so it helps to have everything decided before then. If you cancel 4 months or more ahead, you lose only the $500 deposit; inside 4 months, you lose everything you've paid.

At this stage: - Check that your package is enough. If the Mass and the party are far apart, or the quinceañera gets ready at one house while the chambelanes get ready at another, you may need more hours or a second team member. An additional photographer is $500 for the first 4 hours, and an additional videographer is $600. - Date changes: if something forces you to move the party, the contract allows one date change, requested 4 months or more ahead, if the new date is open. - Add-ons, with time to spare: the album, framed enlargements or the Online Video Streaming Experience for family who live far away are easier to decide now than in the last week.

3 to 2 months before: the Pre-Event Photo Session

Every package includes a 1-hour Pre-Event Photo Session, held at least 2 weeks before the party. Many families schedule it 1 to 2 months ahead so they can use the photos on the invitations, in the memories video or at the venue entrance.

What to know: - An adult from the family must be there for the whole session, because the quinceañera is a minor. - The time is set by the light. In Arizona that shifts a lot between winter and summer; our guide to choosing the time of day for a photo session has the schedule by season. - Prepare without rushing. Poses, nails, hair and what to bring are in the quinceañera photo session guide.

One month before: balance, timeline and surprises

One month before the event, you pay the balance and hand over your timeline in writing. With it, the team knows when Mass starts, when the waltz happens, when the cake is cut and when the surprise dance comes.

Put these in your timeline: - Addresses and times for each location. - The list of relatives and padrinos who can't be missed in the photos. - Who gives the toast, who presents the last doll and who does the shoe ceremony. - The surprises. If there's a surprise entrance, a mariachi or a dance the quinceañera doesn't know about, tell the team. Keep the secret from the guests, not from the people filming it: a moment nobody announced is a moment the camera can miss.

Any change after you send the timeline goes in writing. And remember that parking and entrance fees at parks or gardens are the family's to cover.

The last week and the day of the party

The last week is for confirming, not deciding. Confirm times with the church, the venue and the photo and video team, and choose one relative who knows everyone to help gather people for the group photos.

On the day, coverage hours are continuous: they start when coverage begins, include travel and waiting time, and end at 10:00 pm. If the party keeps going and you want more coverage, each extra hour is $150.

After the party: photo selection, delivery and backup

After the event, you have 4 weeks to choose your photos in your online gallery. If your selection doesn't arrive in time, the team makes it, and that selection is final.

From your selection, usual delivery is 2 to 4 weeks for photos only and 4 to 8 weeks for photo and video. Your contract sets the final terms. Your files are kept for one year, so download and back up your gallery within that first year. The photos you download include permission to print them for personal use.
