When to take the portraits so her printed invitations arrive on time

The invitation photo session happens about 6 weeks before the invitations go out

Hold the photo session for quinceañera invitations about 6 weeks before the day you want to hand them out, if your printer needs about 2 weeks. If you'll send them two months before the party, that puts the session about 14 weeks before the event, a little over 3 months.

Those 6 weeks come from adding four stretches of time: a few days to choose your photos, the usual delivery of about 2 weeks, your printer's time and one week of cushion in case weather moves the session. Below we show how to count yours and which photo works on an invitation.

Why the photo is what delays an invitation most

The photo delays the invitation because the printer can't start without it, or without the approved wording. Sometimes everything is ready except what the family hands in: the photo or the text. Every week the session slips is one less week to review the design calmly.

How to count the weeks, working back from the printer

Start with the date the invitations go out and subtract each step; the mailing time comes from the Postal Service, checked November 7, 2026.

A dated example: a party with invitations sent two months ahead

Say the invitations go out 8 weeks before the party and the printer asks for 2 weeks:

  1. 14 weeks before the party: the session happens.
  2. 13 weeks before: you choose your photos in the gallery.
  3. 11 weeks before: your edited photos arrive and you send them to the printer with the approved wording.
  4. 9 weeks before: the printer delivers the invitations.
  5. 8 weeks before: they go out, with one week of cushion in case weather moved the session.

If your printer needs more time, or you are mailing invitations to another country, add that time at the start of the count.

Already have an event package? Use the pre-event session early

If you booked photo and video coverage for the party, you already have a session: every event package includes a 1-hour Pre-Event Photo Session, at least 2 weeks before the party. For invitations that minimum isn't enough, so ask for an early session date and, when you book, ask when the pre-event session photos are delivered, so you can plan around your printer's timeline.

A second session before the party is $250 as a package add-on, if you want the invitation photo in one look and the formal portraits closer to the date. If you're unsure, read quinceañera session before or after the party.

Which photo works on a quinceañera invitation

The photo that works on an invitation is simple, well lit and leaves open space for the wording, so her name doesn't cover her face.

  • Ask your printer for the design's shape. Vertical, horizontal or square changes which photo fits.
  • Ask for room for the text. A sky, a plain wall or a garden in the background leaves space for her name, the date and the Mass.
  • Choose two or three options: full length, waist up and one detail, like the tiara.
  • If the gown is a surprise, wear another outfit for the invitation photo.
  • Tell the team when you book that the photos are for invitations, so you get both vertical and horizontal options.
  • Send the full file. Download it from your gallery; a screenshot or a photo forwarded by text loses quality in print.

Session add-ons that help you make the printing deadline

Rush delivery is $100. The photos you download from the gallery work with any printer you choose; ask your printer how much time it needs and add that to your count.

Separate session prices for invitation photos

If you aren't booking party coverage, or you want a separate session just for the invitations, these are the three packages. Each includes 1 location, hand editing of every photo and an online gallery. A $150 non-refundable deposit holds the date, and weather reschedules are free.

SessionPriceWhat it includes
Essential$3501 hour, 10 edited photos
Classic$5501 hour, 20 edited photos and a 16×20 framed print
Signature$7501.5 hours, 30 edited photos and a 20×30 framed print

All three include 1 location, individual editing, an online gallery and 20% off prints. $150 non-refundable deposit; the balance 48 hours before. Usual turnaround: 2 weeks.

Envelopes, postage and faraway family: what gets forgotten at the end

What gets forgotten at the end isn't the photo, it's the envelope and the mail. Check this before you buy stamps:

  • Square envelopes cost more. The Postal Service treats a square letter as nonmachinable, according to its guide to letter characteristics (opens in a new tab), and its price list in effect since October 4, 2026 (opens in a new tab) adds a 49-cent surcharge per nonmachinable letter (both checked November 7, 2026).
  • Ribbons, clasps or a very stiff invitation also make it nonmachinable, according to the same guide.
  • Weigh one finished invitation at the post office before you buy all the stamps.
  • Count households, not guests. Usually one invitation goes to each family, so 25 or 50 invitations go further than they seem.

Checklist so the photo reaches the printer on time

  • Pick the date the invitations will be handed out or mailed.
  • Ask the printer how much time they need and what shape the design is.
  • Count the weeks backward and add one week of cushion for weather.
  • Book the session with the $150 deposit, or ask for an early date for the package's pre-event session.
  • Tell the team the photos are for the invitations.
  • Choose your photos as soon as the gallery is ready and download the full file.
  • Ask for rush delivery for $100 if time is short.
  • Review the wording with the printer: name, date, Mass, hall and time.
  • Weigh a finished envelope at the post office and mail faraway family first.

Questions about quinceañera invitation photos

How long before the party should the invitation session be?

About 6 weeks before the day the invitations go out, if your printer takes about 2 weeks. If you hand out invitations two months before the party, the session lands about 14 weeks before it.

Can I use my package's pre-event session for the invitations?

Yes, if the photos arrive in time. Every event package includes a 1-hour Pre-Event Photo Session; ask for an early date and, when you book, ask when its photos are delivered.

What if I'm running out of time?

Book the session as soon as possible, ask for rush delivery for $100 and ask your printer to hold a spot on its calendar.

How many photos do I need for the invitation?

One is enough, but it helps to choose two or three options in case the design changes. The Essential session includes 10 photos, the Classic 20 and the Signature 30.
